An office printer must meet the needs of multiple people. When various employees are printing important papers and facing deadline pressure, technical problems can be a real source of stress. To avoid issues, instill the below do’s and don’ts of printer etiquette into your workplace code of conduct.

Do:

Prioritize smaller print jobs.

A 100-plus page report obviously takes longer to print than a simple ten-page presentation. If employees have a large print job, they should allow smaller documents to print first. This way, others don’t have to wait for their paperwork. It’s practical and avoids frustration between workers.

Replace supplies.

printersReplace paper, toner, or ink as needed. Make sure all employees know where to find these supplies. Designate an office manager or similarly placed individual to order new goods as needed, so there is never a shortage. They should check regularly to ensure sufficient stock is at hand.

Don’t:

Ignore paper jams.

A paper jam is frustrating, but it should never be ignored. If an employee is in a hurry to print documents, this obstacle will hold them up. Remove paper stuck in the loading tray, one sheet at a time. You may also have to extract paper from the interior by removing the rear panel providing access to the internal paper feed.

Leave papers lying around.

Pick up print jobs immediately. Allowing paper to stack up leads to confusion and wastes time, as employees need to sort through the documents to separate print jobs. Leaving papers lying around can also be problematic if they contain sensitive information.
