Doctors office case study.

 

We recently finished up with a Medical office what was in a shared office with a nurse staffing agency. They had 2 Coax internet connections (HIPAA compliance)) and TV that was costing them $275.00. The Doctor had 2 phones he was paying $107.00 and he needed more phones. The Nurse staffing agency had 6 phones and was paying $334.00. They were paying a total of just over $700.00 a month for 8 phones and two coax internet connects.

 

There Coax was going down for 10-20 minutes a day and causing major disruptions in their office. There white label VoIP provider was also having issues allowing them to add more phones. We came in and did a free needs assessment and determined that we could get them better services at much lower costs and get them a redundant Internet connection and add 3 new phones while saving them 30% each month. We did not charge them a fee for this as there new VoIP provider and the redundant ISP are both paying South Florida VoIP a residual commission.

Here’s what we did.

  1. Ordered a much faster ABF fiber connection and canceled one of there internet connections which eliminated their issues with the coax connection. Savings of $225.00 a year.
  2. Added a dual WAN, HIPAA compliant Firewall and set up each company on their own VPN, total cost under $200.00.
  3. Replaced his worn-out cordless phone that was having volume control issues and added 3 new phones for a total of 5. His monthly recurring charges are actually going down with 3 more phones his total bill before taxes will be $90.00 instead of $107.00 and he gets more features.
  4. The nurse staffing office replaced their defective cordless phone and we were able to reprogram there 5 existing Yealink phones while lowering there monthly spend to just $130.00 including their hardwired fax machines.

We did the conversion at 4.30 in the afternoon which is when they close and were out of their offices by 5.30. They also gained a bunch of features to make there lives easier like softphones for there smart phones at allow them to call people back when they are out of the office or traveling and send their office number instead of there cell phone numbers to the patients they were calling back.   The daily issues that both offices were having with there internet were totally eliminated by adding the second connection from a different Internet service provider.

 When we finished, they asked me why their former provider who was there former IT company did not suggest these changes years ago. Our response was that they did not actually understand how the internet works nor did they take the time to understand how disruptive the daily internet issues were on all of there operations from phone calls to accessing medical records and process copays patients wanted to use credit cards to pay. The office manager actually told me they used to waive copays when their internet was down which cost the doctor $50.00-$100.00 almost every day between 2-3 when the issues normally happened.
