Ok, so we’ve talked about how a virtual assistant will save you time this year and we’ve talked about how a virtual assistant can help you grow your business, now let’s talk about the types of tasks that your virtual assistant can take off your plate.

These are the most common items that are taken care of:

  1. Database/Customer Relationship Management- it is essential to network when working and growing a business. What do you do with all of those business cards that you receive? They should be going into a database or CRM program so that you can nurture that new relationship to develop them into either a customer or referral partner. Your VA can assist with getting all of those items into your database.
  2. Autoresponders- these can be autoresponders that are set up in your database to trickle out to new contacts or these can be autoresponders in your email program to give customers a rough idea as to when they can expect follow-up on the email they just sent to you.
  3. Follow-up- This can be in the form of emails welcoming a new customer, reminder emails for meetings, thank you emails or notes or sending out birthday/anniversary/holiday cards.
  4. General Correspondence- This can be in the form of general email correspondence or snail mail correspondence.
  5. Email Filtering- This is creating groups or folders for your emails and filtering new email into these folders. This can also include filtering email to determine what email needs to be responded to, followed up on at a later date or deleted.
  6. File Management- Using a cloud based program, your VA can take files that are created by you or sent to you and file them in folders to be accessed by yourself, team members or clients.
  7. Calendar Management- Your VA can keep track of all of your meetings and appointments on your busy calendar.  They can also schedule new appointments and send reminders of your schedule.
  8. Newsletter Creation- You should be communicating on a regular basis with your customers, both old or current customers as well as customers that you are newly building a relationship with. A weekly or monthly newsletter will help with that. Your VA can assist with creating and distributing a regular newsletter.
  9. Social Media- Your virtual assistant can assist with your social media by scheduling regular postings and helping to respond to any messages that come through your social media sites.
  10. Slideshows for Presentations- PowerPoint presentations and slideshows are a breeze for your virtual assistant to put together for you. You provide the content and we’ll provide the finesse. 
  11. Audio/Video Transcription- Did you do a Podcast or Presentation recently? Don’t lose that material! That can be transcribed and created into a Newsletter or Blog for your customers.
  12. Blogging- It is important to keep your content fresh. Your VA can assist with your blogging. You can provide the content and we can create the graphics to go along with it or we can ghostwrite the content and post with your approval.
  13. Report Creation- Single Page or Multi-Page reports based off of the content that is provided.
  14. Meeting Minutes- If you took the notes from your last meeting and need it typed up to be submitted with the rest of the team, your Va can easily complete this task.
  15. Basic Bookkeeping-Your VA can assist with getting all of those receipts entered into your accounting program. We can also balance the checkbook, keep track of accounts payables and accounts receivables and send out invoices.
  16. Web Page Support- your VA can assist your web designer with keeping your web-page fresh by adding new content and links to your blogs. 
  17. Travel- Your VA can assist with any travel arrangements that you might need. This can also include helping to track reimbursable expenses and submitting expense reports to the accountant.
  18. General Administrative Support- This includes anything from spreadsheets, word documents, flyers, etc.
  19. Data Entry- Typing is typically a strong point for any VA, so your data entry can be completed quickly and accurately.
  20. Supply Ordering- No need to waste time running for supplies, your VA can take care of getting those ordered and delivered so that you never miss a beat.

Once you develop a relationship with your virtual assistant, there may be more tasks that you feel comfortable with outsourcing. The better you get to know one another, the easier it will become to work together toward the common goal.
