1. Shred Old Files

Since they contain personal information, including your Social Security number, shred them to minimize risks.

2. Make Back-Up Copies

Scanning them and keeping the digital versions of the originals will allow you to refer to them whenever necessary without visiting the unit. Printed copies are also widely accepted for applications and other routine needs.

3. Use Envelopes

Before transferring your files to the storage unit, place them in tamper-proof envelopes. These come in various sizes and have adhesives or key locks that protect the contents. Placing documents in envelopes will also prevent them from getting dusty.

4. Store Them in Protective Containers

Boxes made especially for files are helpful for document storage. You can insert the envelopes inside hanging folders before placing them in the containers, which will provide quick and convenient identification. An alternative strategy is to place your documents in manila folders and neatly stack them in plastic containers with lids. If you don’t have protective containers, we suggest storing them in cardboard boxes on wood palettes. If the boxes are stored on concrete it will create condensation, which can damage the documents.
