In your office, you may rely on your copier or laser printer quite a bit. A reliable copier or printer allows you to make copies of important documents, convert paperwork into a digital format, and create memos for clients and staff. Generally, office printers have a 5-year life expectancy, however, with proper care, these devices can last much longer.

1. Be Mindful of the Objects You Place on the Glass

Remove any staples or paperclips before placing items to print or scan in your copier. Small plastic or metal objects such as these can create micro scratches on the surface of the glass. Over time, these scratches make it difficult for the copier light to properly scan documents and can result in inferior copies.

2. Clean the Scanner Regularly

Like scratches, dust and dirt on the scanner glass can affect the efficiency of your copier. Clean the scanner at least once a week using a microfiber cloth and glass cleaner. To avoid water damage, always spray the glass cleaner on the cloth rather than directly on the glass.

3. Dust Internal & External Components

In addition to the scanner glass, you should also wipe down all of the internal and external components of your copier. Wipe dust and dirt from the outside of the machine and remove the printer tray to dust the inside. Also, take the time to clean around ink cartridges using cotton swabs and rubbing alcohol.

4. Use Quality Printing Supplies

Only use the best paper for your copier. Higher quality paper is less likely to fall apart or leave debris inside the machine. Additionally, you should only use the recommended ink cartridge for your printer to ensure optimal performance.
